HR and Admin Manager
Location: Berlin (Hybrid: 4 days on-site, 1 remote day per week)
Reports to: Managing Director, Freelance Financial Controller, Freelance Tax Advisor Coordinates closely with: Lead Producer, Discipline Leads, Freelance HR Support

About the Role
We are looking for a proactive and organized Senior HR & Admin Manager (with at least 5 years of similar experience) to join our Berlin studio. This is a hybrid role with a strong on-site presence, responsible for people operations, recruitment, payroll coordination, and ensuring the smooth running of office and administrative activities. You will play a central role in shaping the studio’s culture, supporting employee development, and managing HR and admin processes in close alignment with leadership and finance. A freelance HR professional will also be available to support you in recruitment activities, providing additional capacity and expertise when needed.
Responsibilities
Human Resources & People Development
Drive and maintain studio culture direction in collaboration with leadership.
Lead the monthly performance review process: collect evaluation input from discipline leads, prepare employee evaluation forms, and conduct review discussions with employees.
Track continuous low performance and support improvements; mark employees for non-renewal, reduced bonuses, or termination if necessary.
Oversee salary negotiations and bonus calculations, in coordination with the MD and the Finance Manager.
Fully responsible for recruitment, with support from a freelance HR partner:
Scout and identify candidates.
Create first-pass selection lists with discipline leads.
Conduct first interviews.
Arrange second interviews with team members or leads.
Coordinate final office interviews with the Managing Director (for Berlin positions).
Manage all hiring processes (offers, contracts, onboarding).
Manage employee onboarding (contracts, equipment, IT access, orientation, office tour).
Manage employee offboarding (equipment return, card collection, exit interviews).
Handle employee lifecycle documentation (contracts, amendments, reference letters).
Act as a point of contact for employee relations and complaints.
Ensure compliance with German labor law, GDPR, and company policies.
Administration & Office Management
Manage office supplies, consumables, and equipment orders.
Act as primary contact with the office rental company and building services.
Coordinate travel planning and ticket booking for team members.
Arrange event expenses and team activity logistics.
Collect and process office-related invoices.
Finance & Payroll Coordination
Prepare and execute salary and bonus payments.
Handle communication with social security companies (e.g., TK).
Arrange SEPA payments when required.
Financial controls
All routine financial actions require one approval.
All new financial actions require approval from the MD or FC.
All financial actions will be reviewed by the Financial Controller.
Coordinate closely with the Freelance Financial Controller and freelance Tax Advisor. Cross-Functional Collaboration
Report to the Managing Director, Financial Controller, and Tax Advisor on HR and admin matters.
Work closely with the Lead Producer to align HR/admin operations with production needs.
Discipline leads conduct monthly meetings with employees; HR integrates outcomes into performance tracking.
Hiring needs are communicated by the MD and FC.
Company Inventory
Conduct a full inventory of office equipment, furniture, and company-owned goods. Create and maintain a centralized record of assets.
Document Management & Archiving
Improve archiving systems for receipts, invoices, and internal documents. Organize and categorize all uncategorized invoices and documents from the past two years. Establish clear foldering and naming conventions for future use.
Office Consumables & Supplies
Set up a standardized list of recurring office consumables (e.g., soap, coffee, snacks, stationery). Track costs and expenditures related to office supplies. Implement a system for recurring orders and replenishment.
Employee Rewards & Bonuses
Design and implement a structured bonus award system. Define criteria and ranking methods for end-of-year and start-of-year bonuses. Ensure transparency and fairness in the evaluation process.
